Build your wedding rental timeline around the hours your property is available, the rental team’s confirmed installation window and the work other vendors need to complete. The ceremony time alone is not enough. Keep setup, decorating, guest arrival and removal as separate entries, each with a named contact.

Ask the property owner or venue contact for the earliest permitted delivery time and the deadline for equipment removal. Record which gate or entrance to use, who unlocks it and whether other events or vehicles will share the space. At a private home, identify the person who can approve access and answer questions on site.
Share those limits before agreeing on rental arrangements. A venue deadline should be written into the planning conversation; it should not be left for the delivery crew to discover on arrival.
Ask the rental team when the agreed setup is expected to be ready for the next vendor. Then coordinate tables, linens, flowers, lighting and other décor around that handoff. Do not assume everyone can unload in the same place or work in the installation area at once.
For anything attached to a tent, obtain the rental team’s approval before a decorator begins. Have vendors explain their access and power needs directly rather than relying on an inspiration photo to communicate technical requirements.
List what must be complete before guests enter: the agreed rental setup, table placement, décor and the venue’s final readiness check. Ask each responsible person how much time their work needs. Use those answers to agree on a sequence; this guide does not prescribe a universal setup duration.
Keep the dining and ceremony plans connected. If chairs move between spaces, name the person or team handling the move and identify when it can happen. Do not assume that delivery includes a room change or that guests will move furniture.
Record when guests leave, when vendors remove their own items and when rental equipment must be accessible for pickup. Ask what preparation is required for the specific items in your order and who will complete it. Confirm who is responsible for clearing décor from rented furniture and who remains available for questions.
The person who opens the gate for installation may not be the person available after the wedding. Put both contacts on the plan and give each the relevant access information.
Property access: permitted start and end, entrance and unlocking contact.
Rental installation: confirmed window, approved area and on-site decision-maker.
Vendor arrivals: vendor name, arrival window, unloading route and work needed before they begin.
Ready for guests: completion time agreed with the venue and vendors.
Ceremony-to-reception changes: items to move, responsible person and agreed timing.
After the celebration: décor removal, equipment preparation, pickup window and access contact.
Choose one person to maintain the latest timeline. Put a revision date at the top and send changes to the affected vendors. If the ceremony moves, a gate becomes unavailable or the venue changes its removal deadline, ask the rental team to reconfirm the arrangements before treating the revised plan as final.
