For a backyard wedding, build your rental list around three things: where guests will sit, where they will eat and how they will move through the celebration. Once those spaces are planned, it is easier to choose a tent, furniture and finishing details that fit the property.

Mark the ceremony, reception, food service and guest entrances on a simple sketch. Include the house, trees, fences, gates and paths between each area. Add approximate measurements and photos of the intended tent location.
The usable installation area may need to extend beyond the tent’s covered footprint. Before committing to a layout, have our team review the surface, access and space needed for the selected structure.
List your expected ceremony attendance and reception attendance separately. Decide whether ceremony chairs will move to the reception or whether you want two sets. If chairs will move, assign someone to handle that transition and leave enough time in the schedule.
For dining, choose a table style and work out where the couple, wedding party and guests will sit. Add tables for food, cake, gifts or other displays. Browse our table and chair rentals before finalizing quantities.
Tell us what needs to fit beneath the tent in addition to dining tables. A buffet, bar, DJ station and dance floor all affect the floor plan. A guest-capacity figure is only useful when its seating arrangement matches your event.

Match tablecloth sizes to the actual tables in your order. Note which tables need linens and your preferred colors. Ask about lead time and availability before planning decorations around a particular fabric or color.
If the reception continues after dark, discuss compatible tent lighting and how the rest of the property will be lit. Identify power needs with your vendors. Keep guest paths and transitions between spaces in mind as you build the evening plan.
Give us both the wedding timetable and the hours available for installation and removal. Share gate widths, vehicle-access restrictions and any property or venue requirements before delivery is scheduled.
