Wedding Table & Chair Rental Quantities: A Reception Worksheet

Start with the number of people who need a seat at each stage of the wedding, then count dining tables and service tables separately. Subtract confirmed venue furniture only after checking that it can do the same job at the same time.

This worksheet helps couples planning in Klamath Falls and Klamath County turn a guest list into a rental request. It is a planning method, not a seating-capacity rating or a reservation of equipment.

1. Make two seating lists

Write down ceremony attendance and reception attendance separately. Include the couple and wedding party where appropriate, and make clear whether they are already included in the totals. Note any separate arrangements for children or vendors so nobody is overlooked or counted twice.

Now decide whether ceremony chairs will remain in place, be moved to dinner, or be supplemented with venue furniture. Reusing chairs reduces the equipment count only when the schedule and the people responsible for moving them make that practical.

Worked example: suppose 80 people need ceremony seats and 72 need dinner seats. If both spaces must stay fully furnished, those two uses require 152 chairs before subtracting any suitable venue chairs. If the same chairs can be transferred after the ceremony, the starting count is 80. That example excludes extra seating elsewhere and assumes the move is feasible; it does not describe a delivery service or promise that staff will move chairs during your wedding.

2. Choose a table arrangement before calculating quantities

Compare 5-foot round tables and 8-foot gray rectangular tables using the floor plan and dining style you want. Round tables organize guests into separate groups; rectangular tables can be arranged individually or in longer rows. Neither choice automatically determines the number of guests that fits in your event space.

Dining-table calculation: guests needing dining seats ÷ agreed seats per table, rounded up. Use the seating arrangement confirmed for your actual table, chairs and place settings. Check the resulting guest assignments: household groups, a separate couple’s table and uneven groups can change the final number.

For mixed table shapes, calculate each group separately. Ask the venue or rental team to review the complete layout, including guest circulation and service areas, before treating the count as final.

3. Give every service table its own line

A table needed for the buffet cannot also be a guest dining table during the meal. Ask your caterer and other vendors what surfaces they need and when they need them. Record each purpose instead of adding an unexplained bundle of extra tables.

  • Food service: purpose, table type, quantity and responsible vendor
  • Drinks: where drinks are served and what surface is needed
  • Cake or dessert: display and serving requirements
  • Guest book, gifts or welcome display: separate or shared use
  • Other vendor work areas: only the items you are responsible for providing

If one table changes jobs during the day, record who clears and moves it and when the first use ends. Count it once only after that transition is agreed.

For each item, count the maximum quantity needed at one time after any feasible reuse, then subtract suitable furniture already provided. Keep estimates visibly marked until the guest list, venue inventory and vendor requirements are confirmed.

5. Turn the worksheet into an event quote
